Your team is drowning in data entry, and you probably don't realise how much.
A property manager in Surrey takes a phone call from a tenant. She writes down their name, unit number, and issue in a notebook. Later, she enters it into her property management software. Then she adds them to an email list in a spreadsheet. Then she opens her calendar tool to schedule the work. Then she forwards the details to the contractor in Slack or email. Why this happens
Most businesses use 5 to 12 different tools: a CRM (or spreadsheet standing in for one), email, Google Sheets or Excel, a scheduling app, a forms tool, maybe a project tracker, maybe an accounting system. Each one does something important. None of them were designed to work together.
So your team becomes the bridge. They move data from one place to the next, over and over, every day. A plumber in Richmond estimates a job on his phone, then texts it to the office, then someone types it into the quoting software, then someone else emails it to the customer, then someone manually marks it as sent in the CRM. That's five steps and three people for a single quote.

Here's what that looks like in practice.
An accounting firm in Burnaby receives an invoice from a vendor. Instead of the bookkeeper opening the invoice, reading it, typing the details into the accounting software, and then manually logging it in a spreadsheet, they forward the invoice to a dedicated email address. A tool reads the invoice, extracts the vendor name, amount, and date, and automatically creates an entry in the accounting software and adds a row to the tracking spreadsheet. The bookkeeper reviews it in 20 seconds to confirm it's right. Done.
A distributor in Calgary receives orders through a website form. Instead of a staff member copying each order into the inventory system, the email system, and the shipping label printer, the form automatically creates an order record, sends a confirmation email to the customer, and generates a label. The team's job is to pack and ship, not to type.
A property manager takes a maintenance request over the phone. She enters the tenant's name, unit, and issue into a simple form on her phone. The form automatically updates her CRM, adds the request to her team's task list, and sends an acknowledgment email to the tenant. No copy-paste. No second entry.
What actually changes for your team
Your team doesn't learn new software. They don't change how they work much at all. They just enter data in one place instead of four, and everything else happens quietly in the background.
The time saved is real. Most teams report 3 to 8 hours a week back after automating one workflow. For a small team, that's significant.
But the bigger win is accuracy and peace of mind. Nothing gets forgotten. Nothing gets entered wrong in one system and right in another. When you need to know the status of something, you can trust that one source of truth.
There is a trade-off: you need to spend time setting this up the first time. It typically takes a week to design the workflow, connect the tools, and test it. And you need someone who understands your tools to build it—it's not a job for someone who's never done it. But after that week, the time comes back every single week.
One note: this only works if the tools you use have a way to talk to each other. Most modern business software does (through integrations or APIs, which are just plumbing that lets software pass data back and forth). Some older or very specialised tools don't. If your team is still using software from 2010 that has no integration options, this approach won't work. But if you're using tools from the last five years—Salesforce, HubSpot, Zapier, Airtable, most accounting software, most scheduling tools—you're good.
Where to start
- Pick one workflow that repeats at least 10 times a week and involves data entry into two or more tools. (New customer intake, invoice processing, and job scheduling are common ones.) Write down exactly what your team does now, step by step, and how long it takes.
- List the tools that workflow touches. Check the website or contact the support team for each one to see if they offer integrations. Most do, and the information is usually free and public.
- Talk to someone who has built integrations before (or reach out to a company that does this work) and ask them to spend 30 minutes mapping out what's possible. You'll know in that conversation whether it's worth doing and roughly how long it will take.
